Job Description
Key Responsibilities
- Complete a broad variety of administrative support, including scheduling appointments (internal and external meetings), sourcing, and procuring requested merchandise for supervisor(s) and team members.
- Prepare legal documentations, official forms, notices, meeting minutes, attendance lists, proxy forms, correspondence, memoranda, reports, documents, and presentations as assigned.
- Proofread, translate, edit, review, and add recommendations on documents as assigned and upon supervisor(s)’ approval.
- Attend to daily mails and messages on all requirements or assistance required from direct supervisor(s).
- Handle initial client inquiries in both verbal and written forms on behalf of supervisor(s).
- Process timesheets, payment vouchers, and other assignments in a timely manner.
- Make arrangements for local and overseas trips; process expenses; and get reimbursements.
- Maintain and keep all client and office matters updated, including opening new files, requesting conflict-of-interest checks, and preparing files to be closed.
- Ensure that all briefings or presentation materials are well-prepared in advance of all meetings.
- Help delegate work to lawyers and ensure that the input is in keeping with the requirements.
- Perform other relevant duties as assigned.
Specification
Background and Experience
- Bachelor’s Degree in any field.
- At least 2-3 years of administrative/secretarial experience in law firms or professional services companies.
- Knowledge in corporate documents preferred.

- Organizational skills – be able to effectively manage multiple assignments and prioritize work.

- Technological Proficiency – be proficient in Microsoft Office Suite (MS Outlook, MS Word, MS Excel, and MS PowerPoint) and be willing to learn new computer programs.
- Other relevant qualities – detail-oriented, reliable, responsible, can-do attitude.
