Job Description

Job Summary:
The Ocean Export Operation will assist in managing the end-to-end ocean export process. This role requires interaction with customers, carriers, and internal departments to ensure timely and accurate shipments. The ideal candidate should have a basic understanding of international logistics and a customer-centric approach.

 

Key Responsibilities:

  1. Shipment Coordination:
    • Coordinate and arrange ocean export shipments from start to finish, including booking with carriers, preparing shipping documentation, and ensuring adherence to customer and regulatory requirements.
    • Track shipments to ensure on-time departure and delivery, resolving issues that arise during transit.
  2. Documentation:
    • Prepare and review shipping documents such as bills of lading, export declarations, packing lists, and invoices to ensure accuracy and compliance with local and international regulations.
    • Ensure all documentation is properly submitted to relevant parties (customs, carriers, and customers) in a timely manner.
  3. Customer Service:
    • Act as the primary point of contact for customers regarding their ocean export shipments, providing timely updates on status, handling inquiries, and resolving issues.
    • Ensure customer satisfaction through prompt, professional, and proactive communication.
  4. Carrier Liaison:
    • Communicate with ocean carriers, NVOCCs, and other service providers to confirm bookings, and ensure space allocation
  5. Compliance:
    • Ensure compliance with international shipping laws and regulations, including customs and other government requirements.
    • Stay updated on export rules, regulations, and carrier procedures.
  6. Cost Control:
    • Verify accuracy of carrier invoices, ensuring agreed-upon rates and services.
  7. Collaboration:
    • Work closely with internal departments such as sales, import/export operations, and accounting to ensure a smooth and efficient shipping process.
    • Support the team with administrative tasks and any ad hoc duties as assigned
  8. Data Entry & Management:
    • Accurately input shipment details and relevant customer data into the company’s freight management system or databases.
    • Maintain and update records for all shipments, including tracking, status updates, costs, and documentation.
    • Ensure data integrity and accuracy to facilitate smooth communication with internal teams and external customers.

Qualifications:

• Bachelor’s degree in Logistics, Supply Chain, or related field is a plus
• 1-2 years of experience in customer service, preferably within the freight forwarding or logistics industry (ocean export experience is a plus).
• Basic understanding of international freight forwarding, ocean shipping, and export documentation.
• Strong verbal and written communication skills.
• Excellent attention to detail and organizational skills.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
• Problem-solving mindset and a proactive approach to customer service.
