Job purpose

Destination Asia Thailand is looking for a highly organised & energetic MICE Coordinator to provide the sales team with the necessary back office administrative support to help DA exceed clients expectations and win bids & proposals for incoming international meeting and incentive groups.     

Role and Responsibilities

  • To produce power point presentations timely, which will have been mapped out by a member of the M&I team, in response to RFP requests.  All proposals prepared, must be checked with the team member requesting it and should be send out by the respective team member to the end client. 
  • To prepare detailed client event costing sheets as instructed to do so by a member of the M&I team, which will enable them to send all RFP request to clients in a timely manner.
  • When required by the M&I team liaise with all suppliers to ensure that all services are confirmed, contracted and are paid as per the suppliers’ terms and conditions.
  • Book any travel requirements that is required by the M&I team for Site Inspections, or travel for when a group is on the ground.
  • For any M&I groups that require pre and post bookings services, such as accommodation, flights and activities to support the M&I team in booking such services as and when required.
  • Assist with client site inspection coordination as and when required by the team
  • Co-ordinate fam trips, booking all relevant services, preparing fam trip running orders/agendas, preparing all client welcome notes & gifts.   All relevant stakeholders must be fully briefed, and all information is shared with all stakeholders to delivery an exceptional program.
  • Invoicing
  • Reports – be responsible for all departmental reports required weekly, monthly on an ad-hoc basis.
  • Pipedrive (CRM platform) – to be the internal super user/champion for Pipedrive, ensuring that all M&I colleagues are utilizing the system to its full capabilities and in line with the departmental SOP’s.

 Qualifications:

  • Bachelor’s Degree in Tourism, Hospitality Management, or related field

 Experience

  • Minimum 1 year previous experience with meetings and incentives company preferable or hospitality related tourism field (inbound DMC/tour operator).
  • Good working knowledge of Thailand’s key tourist destinations, venues and attractions.
